Hi Deepak. I’m Greg, an installation specialist and 9 year Windows MVP here to help you.

I understand that you are unable to set Windows to manage printers (last used = default) in Printer Settings. This would appear to be a system failure rather than printer related, but just to be sure I would make sure you have the latest full printer software and firmware installed from manufacturer.

Then if it’s passed SFC with no problems I would do a Repair Install:

This is the most stable method to bring you to the latest version if you don’t yet have it, takes about an hour or less and solves most problems. If it stretches out longer than that then it confirms more serious corruption, and if it fails then I would consider a Clean Install following the illustrated steps in this link which include everything that works best in Windows 10:

There are no other fixes I find for reinstalling or repairing Let WIndows Manage Printer function.

I hope this helps. Feel free to ask back any questions and keep me posted. If you’ll wait to rate whether my post helped you, I will keep working with you until it’s resolved.

How to manage a printer in windows 10

Managing a company’s fleet of printers using Windows 10 may be a little different from its predecessors. In January 2020, Windows 7’s End of Life phase required many companies to upgrade their workstations to the latest version of the world’s most popular Operating System (OS). Luckily, Microsoft designed Windows 10 to include all the features from Windows 7 that companies liked, but there are some differences between the two environments.

For organizations that aren’t familiar with the new OS, knowing how to install, configure, and manage their printers will be important. They’ll need to know how to connect a printer in Windows 10 and how to ensure their employees use the right device in the office. This guide will help companies with their printer configuration in Windows 10.

How to Connect a Printer in Windows 10

Windows 10 provides a similar interface to Windows 7 for managing and administrating printers. Depending on whether the printer uses a wired, network, or wireless connection, the steps to connect the device may be different.

Connecting a Wired Printer on Windows 10

If the printer uses a USB cable, switch on the device, and connect it to the PC’s port. Modern printers should automatically install the necessary drivers from the Windows software library. If the device requires special software, the company can download the applications from the Original Equipment Manufacturer (OEM) website.

To connect the printer with a USB cable:

1. Download the software (if the company doesn’t have the CD that came with the printer).

2. Install the required software on the PC.

3. Click on the Windows Key and type “Printers” in the Omnibox.

4. Select the Printers and Scanners option from the search results.

5. Use the wizard to add the printer by clicking on the “Add a printer or scanner” option.

Windows will search for the printer connected to the PC and add it to the list of printers available. Once the printer is available on the list, clicking on it will show the additional options to manage the printer.

Connect a Network Printer to a Windows 10 PC

Adding a network printer (using either a Local Area Network or Wireless Access Network) is similar to connecting a wired printer. If the printer is on the network, clicking on the option “Add a printer or scanner” should bring up the printer, and the administrator can add it to the list of printers available on the PC.

If the printer doesn’t appear in the list, the administrator can add it manually by clicking on the “The printer that I want isn’t listed” option.

To add the network printer manually, follow these steps:

1. Click on the “The printer I want isn’t listed” option.

2. Choose the option that applies to the company’s printers.

The right option will depend on how the company configures its network printers. These options include:

  • My printer is a little older. Help me find it – This will scan for older model printers connected to the network or PC.
  • Select a shared printer by name – Use this option if the printer’s name is available, and the administrator knows the network location and uses the Universal Naming Convention (UNC) path.
  • Add a printer using TCP/IP address or hostname – Select if the admin knows the printer’s IP, the host machine’s network address, or the PC name is available.
  • Add a Bluetooth, wireless or network discoverable printer – For printers previously configured for network discovery.
  • Add a local printer or network printer with manual settings – Advanced configuration of the printer by entering the details manually.

Managing a Printer in Windows 10

After adding the printer to the PC, the administrator can change its settings by clicking on the printer in the list and selecting “Manage”. From the “Manage your device” window, administers can perform several actions.

These include:

  • Printing a test page.
  • Running a troubleshooter wizard if there’s anything wrong with the printer.
  • Open and change the printer’s properties.
  • Access the printing preferences to change color settings or default page configuration.
  • View or change the hardware properties.

The above settings will be the same as previous Windows versions. Changing the settings will depend on how the administrator wants to configure the printer for the company’s users. From the “Manage your device page”, administrators can also view the print queue or set the device as the default printer.

Note that if the administrator lets Windows manage the default printer, it will change the PC’s default device every time a user sends a print to a different printer. Untick this option (located at the bottom of the printer list) if the default printer should be static on the PC.

How to manage a printer in windows 10

You’ve got yourself a new computer with a Windows 10 OS, or perhaps you recently updated or reformatted your machine with Windows’ latest operating system. Whatever the case, you now find yourself at a loss on how to connect a printer to your computer. Don’t worry. This guide will smooth out the whole process for you.

Ready Your Printer

Before adding any printer to Windows 10, make sure that it is in order. Double check if all of the parts and wires are in place. If this is a new printer we are talking about, it is best to unpack everything first before connecting it to your computer.

For those of you with a wireless printer, you might want to double check its manual for pertinent configuration settings. By doing all of these, you minimize potential complications. Now let’s learn how to connect a printer to your network

How to Connect a Printer to Your Network

First and foremost, know that with Windows’ most recent operating system, installing external devices has become super easy. If you just read the on-screen prompts carefully, adding a printer should not take more than fifteen minutes.

If you have a network printer, simply follow these steps:

  1. Connect the printer’s cable to your computer. Most printers these days use a USB connection.
  2. Turn on your printer.
  3. Open “Devices and Printers”. You can do this by going through the “Control Panel”, or you can simply search your machine via the magnifying glass icon near the Start button.
  4. Once inside the Devices and Printers menu, click on “Add a Printer”.
  5. The name of the printer you are trying to connect should show up. If you don’t know the exact name of your printer, check the device or the manual. The complete details, including the model number, should be easy to find.
  6. When you do find the printer’s name, click on it.
  7. Windows will then automatically handle the installation by processing the appropriate drivers.
  8. Wait for the installation to finish. You will know it is done when you see the “Finish” button activated.
  9. Before clicking Finish, you might want to do a test print first.
  10. To accomplish a printing test, make sure the paper and ink cartridges are ready. Then, simply click the “Print a test page” button you see on the installation window that you have been observing.
  11. If the print test turned out okay, click that Finish button and you’re done!

How to Connect a Printer Wirelessly

For wireless printers, referring to the manual on how to configure them is the best way. Generally, though, the steps will be more or less the same when it comes to opening “Devices and Printers” and adding the printer from there.

Potential Complications

If during the installation process, the name of your printer does not show up, or if the installation halted midway – don’t panic.

The most common reason why those problems occur is the printer’s driver. This is basically the program needed by your computer to communicate with the printer and operate it. Normally, this will be downloaded automatically. That is why it is important to check if the cables are properly connected. Ensure as well that your wireless network has no problems.

Now, if you have an older printer, perhaps a secondhand one, then it should come with a disk that holds the driver. Pop that into the CD drive and installing should then be a breeze.

But what if the disk is nowhere in sight? No worries because you can always download the needed driver from the internet. For this, you will need your printer’s full model name. For example, you can just do a Google search for “HP Deskjet Ink Advantage 2520hc driver”.

A word of caution, though – do not download a driver from unreliable sources. It is best to get it from the official manufacturer’s website. For extra protection, scan the newly downloaded file with your antivirus software. This is just to make sure there’s no surprise malware lurking around.

Once you have the driver file, double click on it or the .exe or application file to start the installation. Simply follow the instructions that pop up. Wait a few minutes and it should be done.

Managing Printers in Windows 10

Now that you’ve learned how to connect a printer, it’s time to learn how to manage them. Say you have multiple printers at home or in the office and you have connected them all to your computer. Whenever you need to see which printers are indeed added or if you want to manage them, all you have to do is open “Devices and Printers” again.

Alternatively, you can click on the Start button, then click “Settings” and find “Devices”. Open “Printers and Scanners” to find all of your connected printers. You can then check on their properties and choose which one to set as the default. You can also conveniently set your printing preferences or remove a printer from this interface.

Final Notes

As you can see, learning how to connect a printer to a Windows 10 computer is not hard at all. Instruction prompts will be provided and they are easy to understand. Simply read them carefully and if ever there is something confusing, you can always quickly refer to the internet for tips regarding the specific situation you are facing.

Aside from that, you can always seek advice from professional tech support if you come across an installation difficulty you cannot solve. Overall, adding a new printer will not be troublesome and won’t take too much of your time.

First off, click on start, then type “printers” and you should see “Devices and Printers”, click on that

Find your printer and click on it once, then click on “Print Server Properties”

Update 9/14/17 – If this doesn’t work for you, try typing control panel, then clicking in it. Find “View Devices and Printers” and click on it.

Once the Print server properties dialog appears, click on the tab which reads “ports”.

You should see an option for “Configure Port”.

Or you may see “Change Port Settings” on the bottom of the dialog.

Note (9/14/17): If these steps don’t work for you, I’m willing to bet you have a USB printer that just isn’t being recognized. Try unplugging both the power and the USB port from the printer. Then plug in the USB cable, and the power.

If this still doesn’t help, I would uninstall everything related to the printer, unplug the USB cable, and the re-install it. This has helped me out, especially with those fancy all in one printers.
